Job Title: Receptionist and Front Office

JOB SUMMARY:
Assigned to the Human Resources Department to greet and interact with customers, visitors, and suppliers. The Receptionist will have limited interaction with Company employees due to confidentiality and HIPPA. Assist Human Resources Department in the day-to-daily operations; answer phones, take messages, fax, copy etc.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Ensure copies of new hire packages are available for distribution when hiring
• Contact prospective candidates for interviews as required
• Take incoming phone calls and accurately direct them to the point of contact
• Must have an excellent speaking voice and telephone etiquette
• Take phone messages as required, while ensuring Customers and visitors have signed in/out
• Issue Customers, Visitors PPE (Safety glasses/safety goggles as needed for plant floor visits)
• Have the ability to work independently and manage one’s time
• Open security gate and offices doors in front lobby for Customers, visitors and staff
• Maintain employee absentee line and record reasons for absence etc
• Assist Purchasing Dept in opening and disseminate mail and maintain postal stamps and for first class mail
• Perform daily follow-up to ensure Dept job tickets are accurately reflecting the hours worked by employees for Payroll verification with hours worked
• Issue and record supplies used and follow reordering process
• Order food in a timely manner for Weekly Manager’s meeting
• Ensure boardroom and conference rooms are in proper order for lunch deliveries and cleaned up when done
• Maintain incoming/outgoing faxes and keep copy and fax machine full with copy paper
MINIMUM LEVEL OF EDUCATIONAL & TRAINING:
• A minimum of 1 year or more of entry level office experience required
• Must have a High school diploma or GED
• Proficient in MS Office products, fax, copy, and multi-line phone systems
MINIMUM LEVEL OF KNOWLEDGE AND SKILLS REQUIRED:
• Verbal and written communication skills, attention to detail, customer service skills and interpersonal skills \
• Be open for a wide variety of tasks, and have excellent analytical skills
• Excellent written, verbal, and presentation skills
• Detail oriented, logical, and methodological approach to problem solving
• Demonstrated capability to interface and maintain effective relationships with Owner, C00, Departments, and employees in a team-oriented environment
PHYSICAL DEMANDS:
• Bend, stoop, squat, twist, crouch, sit, stand and walk as needed in the performance of office requirements
WORK ENVIRONMENT:
• Business casual dress attire is required
• Safety glasses/safety goggles, composite shoe and hearing protection is mandatory inside the plant
